Extend Meetings with One Click

Yeastar Workplace supports extending ongoing meetings with one click. When your meeting takes more time than you expected, all you need to do is just one click to extend the meeting.

Yeastar Workplace supports three methods to make extending meetings convenient and flexible. Click the links below to learn more about each method:

Tip

  • Multiple extensions can be made to the same meeting.
  • The extension of recurring meetings will only be applied for a single time.

Extend meetings on Room Displays

When a room is having meetings, its bound room display shows the status of In Use.

The screen looks like this:

Anyone can tap the Extend by x minutes button on the room display to extend this meeting.

Result

Extended successfully:

  • The new end time will be displayed on the room display.
  • The new end time will be updated to the web portal and third-party calendars to avoid conflicts in booking rooms.
  • If this meeting is booked on web portal or third-party calendar(Outlook and Google calendar). The meeting organizer will receive an email about this extension, as follows:

Extending failed:

  • A pop-up window says "There is already another meeting. Failed to extend."

  • If this meeting is booked on web portal or third-party calendar(Outlook and Google calendar). The meeting organizer will receive an email about this extension, as follows:

Extend meetings on web portal

Prerequisites

  • You must be the meeting organizer.
  • This meeting is not booked via room display.
  • The meeting is in progress.

Procedure

Choose one of the following methods to extend a meeting:

  1. Log in to Yeastar Workplace web portal and select the Schedule tab in the top bar.
  2. Click an ongoing meeting you organized.
  3. In the pop-up window, click Extend by X minutes.

  2. Click an ongoing meeting you organized.
  3. In the pop-up window, click Extend by X minutes.
  1. Log in to Yeastar Workplace web portal and select the Map tab in the top bar.
  2. Click an ongoing meeting you organized.
  3. In the pop-up window, click Extend by X minutes.

Result

Extended successfully:

  • The new end time will be displayed on web portal.
  • The new end time will be updated to room displays and third-party calendars to avoid conflicts in booking rooms.
  • You will receive an email about this extension, as follows:

Extending failed:

  • A pop-up message says "There is already another meeting. Failed to extend."
  • You will receive an email about this extension, as follows:

Extend meetings via emails

Prerequisites

  • You must be the meeting organizer.
  • This meeting is not booked via room display.
  • The meeting is in progress.

Procedure

  1. When a meeting is coming to an end, the organizer will receive an email that says "Meeting XXX Will End in 15 mins".

  2. Click Extend by X mins button in this email.

Result

Extended successfully:

  • On the pop-up page, an icon says, "Extended Successfully".
  • The new end time will be updated to room displays, web portal and third-party calendars to avoid conflicts in booking rooms.
  • The meeting organizer will receive an email about this extension, as follows:

Extending failed:

  • On the pop-up page, an icon says "Failed to extend".
  • You will receive an email about this extension, as follows:
