Desk Preferences

Configure desk booking preferences to decide when and how users in your workplace can book desks.

Log in to Yeastar Workplace management portal, go to Desk > Desk Preferences and configure the desired preferences.

Booking Settings

Booking settings allow you to determine when users can book a desk, the maximum duration for a desk reservation, and the desk usage flow.

Setting Description
Only Allow Booking During
Company's Working Hours

Decide whether to restrict desk bookings to working hours.

  • Enable: Desks can only be booked during the Company's Working Hours.

    Note

    If there are desk bookings outside the company working hours when you enable this option, the system will cancel these bookings and send a notification message to the corresponding users.

  • Disable: Desks can be booked for any time.
Enable Check in/Check out

Decide whether users need to check in and check out to a desk reservation.

Maximum Duration for a Desk Specify the maximum duration for a desk that can be booked.
Minimum Duration for a Desk Specify the minimum duration for a desk that can be booked.
Allow Recurring Booking Decide whether users can make recurring desk bookings.
Advance Check-in Window

This option is only available when Enable Check in/Check out is enabled.

Specify how long before the booking start time users can check in to a desk booking.

Advance Booking Window Specify how far in advance desks can be booked by users.

Smart Processing Settings

Smart processing settings allow you to set up the auto-release strategy, which can automatically release vacant desks to improve the desk utilization.

Setting Description
Release the Desk Upon Check-in Timeout

This option is only available when Enable Check in/Check out is enabled.

  • Enable: If no check-in occurs within the duration after it reached the desk start time, the system will cancel this reservation and release this desk. You can specify the duration in the Timeout Duration dropdown list.
  • Disable: The desk will NOT be released even if no check-in occurs.
Automatically Check out the Desk When No One is Detected

This function requires Occupancy Sensor.

  • Enable: If the sensor continuously detects no one for a period of time, the system will cancel this reservation and release this desk. You can specify the period in the Duration dropdown list.
  • Disable: The desk will NOT be released even if no one is detected by the sensor.
