Invite a Visitor

Yeastar Workplace supports scheduling visits for yourself or for others. This topic describes how to invite a visitor to your workplace.

Procedure

  1. Log in to Yeastar Workplace web portal, click the Visits tab in the top menu bar.
  2. Click Invite to create a visit schedule.
  3. In the pop-up dialog box, configure the visit details.

    1. Configure the following information:

      • Subject: Enter the subject for this visit.
      • Time: Select the arrival, and leave time for the visitor.
      • Name: Enter the name of the visitor.
      • Email: Enter the email address of the visitor.
        If you wish to send a notification email about the invitation to the visitor, select Send Invitation via Email.

        Note

        • The notification email contains a link for visitors to submit the questionnaire in advance.
        • If you can't select the checkbox Send Invitation via Email, it may be the administrators have disabled the invitation notification for visitors.
          Contact the administrator in your workplace for more information.
      • Phone Number: Optional. Enter the phone number of the visitor.

      • Building & Floor: Click the dropdown list and select the desired building and floor.
      • Meeting Room: Optional. Decide whether to book a meeting room for this visit.

      • Type: Click the dropdown list and select a type for the visitor.

      • Host: Specify the host(s) for this visit.
        The default value is yourself, if you are scheduling a visit for others, remove yourself and click to select the host(s).

        If you wish to send notifications to the host(s) when visitors check in, select Send Notifications When Visitors Check-in.

        Tip

        If you can't select the checkbox Send Notifications When Visitors Check-in, it may be the administrators have disabled the check-in notification for hosts.
        Contact the administrator in your workplace for more information.

    2. Click OK.

Result

You have created a visit schedule successfully.

  • The visit schedule is displayed on the schedule list for all hosts, with the status Invited.
  • A notification about this visit is sent to the host(s).

  • If you enabled Send Invitation via Email, a notification email is sent to the visitor's mailbox, through which the visitor can submit the check-in questionnaire.

  • If you booked a meeting room for this visit, a meeting room schedule is created automatically. You are the meeting organizer and the hosts are participants.
