Mark Desks and Meeting Rooms on the Map

By marking meeting rooms and desks on the map, users can book the marked meeting rooms and desks via the map directly. This topic describes how to mark the existing rooms/desks on the map, and how to add and mark desks/rooms on the map.

Prerequisite

You have completed Managed Office Building.

Mark existing desks and rooms on the map

Procedure

  1. Access map configuration panel.

    1. Log in to Yeastar Workplace management portal, go to Company Settings > Building Management, and click the desired building.
    2. Select the desired floor and click Map Configuration.
      The Unmarked section on the left panel shows all the existing and unmarked meeting rooms and desks.
  2. Adjust the map display.

    • Hold down the Space and click & drag to move the map.
    • Click or on the bottom right corner to zoom in or out.
  3. Mark the existing desks and meeting rooms on the map.

    1. On the left panel, drag a meeting room or a desk from the Unmarked section, and drop it at the desired position on the map.

    2. Optional: Customize the icon as needed:

      • In the Icon Style section, specify the icon style.
      • In the Icon Size section, adjust the icon size.
      • Reorient the icon's direction.

  4. Optional: Click in the bottom right corner and select Show Users or Show Desk/Room Name to check if the meeting room/desk is marked accurately.

  5. Click Save in the top right corner.

Result

The meeting room/desk is marked on the map, and the icon's color indicates the type of meeting room/desk.

  • Blue: Regular meeting room, Request-only meeting room, or Flexible desk.
  • Gray: Dedicated meeting room, or Permanent desk.

Add and mark meeting rooms on the map

Procedure

  1. Access map configuration panel.

    1. Log in to Yeastar Workplace management portal, go to Company Settings > Building Management, and click the desired building.
    2. Select the desired floor and click Map Configuration.
  2. Adjust the map display.

    • Hold down the Space and click & drag to move the map.
    • Click or on the bottom right corner to zoom in or out.
  3. Add and mark a meeting room.

    1. In the top bar, click Meeting Room and select an icon style.

    2. Click a desired position on the map to add and mark this meeting room.

    3. Optional: Adjust the icon size and the direction.

  4. On the right panel, edit the meeting room's information.

    Click to see the contents to be edited.
    • Name: Enter a name to help you and your colleagues identify this meeting room.
    • Capacity: Enter the maximum number of people the room can accommodate to help users find a room that matched their meeting size.
    • Facility: Facilities included in the meeting room. 5 items by default, all editable. You can add or delete items as needed.
    • Smart Devices : Click the dropdown list and select the registered smart devices to bind to this room.

      • Room Displays: Show the real-time occupancy status and the room bookings of a meeting room, and also support booking rooms for ad-hoc meetings.
      • People Counting Sensor: Collect the meeting room occupancy status and the number of participants in a meeting(no personally identifiable information is used, collected, or uploaded.)
      • Room Comfort Sensor: Collect the data about temperature, humidity, light, CO2 concentration, and TVOC of a meeting room, and display the data on the E-ink screen in real-time.
    • Enable Check-in: Decide if users need to check in to confirm their reservations when using the room.

    • Booking Type: Click the dropdown list and select a type for this meeting room.

      • Regular Meeting Room: This room can be booked by users directly.
      • Dedicated Meeting Room: For dedicated use, can not be booked by users.
      • Request-only Rooms: Users need to submit a reservation request first and can only book this room after the request is approved. This meeting room can not be booked via Room Display.
    • Users with Approval Permission: This option is only available when the booking type is selected as Request-only Rooms.
      Click the dropdown list and select which users or groups can manage the reservation requests for this request-only meeting room.

    • Room Display Booking: This section is only available when a room display is bound to this room.
      Decide whether users can book this meeting room via Room Display.

    • Users with Room Booking Permission: This option is only available when the booking type is selected as Regular Meeting Room. Click the dropdown list and select which users or groups can book the meeting room.

  5. Click Save in the top right corner.

Result

The meeting room is added and marked on the map, and the icon's color indicates the type of meeting room/desk.

  • Blue: Regular meeting room, or Request-only meeting room.
  • Gray: Dedicated meeting room.

Add and mark desks on the map

Procedure

  1. Access map configuration panel.

    1. Log in to Yeastar Workplace management portal, go to Company Settings > Building Management, and click the desired building.
    2. Select the desired floor and click Map Configuration.
  2. Adjust the map display.

    • Hold down the Space and click & drag to move the map.
    • Click or on the bottom right corner to zoom in or out.
  3. Add and mark a desk.

    1. In the top bar, click Desk and select an icon style from the first three buttons.
    2. Click a desired position on the map to add and mark this desk.
    3. Optional: Adjust the icon size and the orientation.
  4. On the right panel, edit the desk's information.

    Click to see the contents to be edited.
    • Desk Name: Specify a name to help you identify this desk.
      It's recommended to name a desk with its location, i.e. Desk 201.

    • Desk Type: Click the dropdown list and select the type for this desk.

      • Permanent Desk: A dedicated desk for a specific user, can not be booked.
      • Flexible Desk: A flexible desk that supports being booked by users with permissions.
    • Smart Devices: Click the dropdown list and select an occupancy sensor to bind with this desk.

    • Desk User: This field is only available when the desk type is selected as Permanent Desk.
      Click the dropdown list and select which user this desk will be assigned to.

    • Booking Permissions: This field is only available when the desk type is selected as Flexible Desk.
      Click the dropdown list and specify which users have permission to book this desk.

  5. Click Save in the top right corner.

Result

The desk is added and marked on the map, and the icon's color indicates the type of the desk.

  • Blue: Flexible desk.
  • Gray: Permanent desk.

Procedure

    2. Select the desired floor and click Map Configuration.
  2. Adjust the map display.

    • Hold down the Space and click & drag to move the map.
    • Click or on the bottom right corner to zoom in or out.
  3. Add and mark desks in bulk.

    1. In the top bar, click Desk and decide how many desks you wish to add at once.

    2. Click a desired position on the map to create and mark the desks.

    3. Optional: Specify the icon style and adjust the size and orientation.

  4. Click a desk and edit the desk's information individually.

    Click to see the contents to be edited.
    • Desk Name: Specify a name to help you identify this desk.
      It's recommended to name a desk with its location, i.e. Desk 201.

    • Desk Type: Click the dropdown list and select the type for this desk.

      • Permanent Desk: A dedicated desk for a specific user, can not be booked.
      • Flexible Desk: A flexible desk that supports being booked by users with permissions.
    • Smart Devices: Click the dropdown list and select an occupancy sensor to bind with this desk.

    • Desk User: This field is only available when the desk type is selected as Permanent Desk.
      Click the dropdown list and select which user this desk will be assigned to.

  5. Click Save in the top right corner.
