Set up Manual Printing of Visitor Badges

Manual badge printing allows employees (hosts and receptionists) to manually select the scheduled visitors on Yeastar Workplace web portal and print badges for them. To set up manual badge printing, you need to connect a badge printer to employees' computers and enable visitor badge printing.

Requirements

Step 1. Connect a badge printer to employees' computers

Connect badge printers to employees' computers based on the type of your badge printer.
Connect a wired badge printer
For a wired badge printer, you can connect it to a computer via the USB cable.
Note: The configuration may vary depending on your badge printer.

For more information, contact your printer manufacturer.

  1. Turn on your badge printer.
  2. Plug the USB cable of the badge printer into an available USB port on the computer.

    The computer will download the required drivers and connect to the badge printer automatically.

Connect a wireless or network badge printer
For a wireless or network badge printer, you can connect it to a computer by connecting them to the same Wi-Fi network.
Note: The configuration may vary depending on your badge printer and computer system.

  1. Turn on your badge printer and connect it to the same Wi-Fi network as the computer.
  2. Connect the badge printer to the computer according to the operating system.
    Operating system Instruction
    Windows 11
    1. Click the Start menu, and go to Settings > Bluetooth & devices > Printers & scanners.
    2. In the right-upper corner, click Add device to search for the badge printer.

    3. Click Add device beside the desired badge printer.

    4. Optional: Click Set as default to set this badge printer as the default printer.
    macOS
    1. Click the Apple menu, and go to System Preferences / Settings > Printers & Scanners.
    2. In the Printers list, select the desired badge printer.
    3. Optional: In the Default printer drop-down list, select the badge printer to set it as the default printer.

Step 2. Enable visitor badge printing

  1. Log in to Yeastar Workplace admin portal, and go to Visit > Visit Preferences > Time Settings.

  2. In the Print Visitor Badge drop-down list, select Enable.
  3. Click Save.

Result

You have set up manual printing of visitor badges. Employees can go to the Visit tab of their Yeastar Workplace web portal, and click > Print Badge of the desired visit schedule.

The system will trigger the connected badge printer to print the visitor badges.

Note: Visitors can click View Visitor Badge in the invitation email to view the digital visitor badge.
