Check and Manage Voicemails

This topic describes how to check and manage your voicemails on Linkus Desktop Client.

Procedure

  1. On Linkus Desktop Client, go to Voicemails.
  2. Optional: Select specific read status to filter voicemails.

  3. Check and manage the voicemails according to your needs:
    Note:
    • Changes to the voicemails will be synchronized to all Linkus UC Clients.
    • If the label "Forwarded from: <Extension Name> - <Extension Number>" is displayed below a voicemail, this indicates that the voicemail was forwarded from another extension. Any changes on such voicemails will not affect the original voicemails.
    Operation Instruction
    Listen to a voicemail
    1. Hover your mouse over the desired record.
    2. At the right side, click .

      An unread voicemail will be marked as read.

    View or edit a transcribed voicemail text
    Note: This operation is available only if system administrator has set up voicemail transcription feature and there is sufficient transcription time.
    1. Hover your mouse over the desired record.
    2. At the right side, click or .

      You can view the transcribed text in a pop-up window.

    3. To edit an AI-generated transcript marked with , click Edit.
    4. Edit the text as needed, then click Save.

    5. Click OK to close the pop-up window.
    Place a call You can directly place a call from a voicemail record via the following methods:
    • Double click the desired record.
    • Hover your mouse over the desired record, and click .
    Download a voicemail
    1. Hover your mouse over the desired record.
    2. At the right side, click .
    Change the read status
    • To mark a voicemail as read or unread, do as follows:
      1. Right click on the desired record.
      2. Click Mark as Read or Mark as unread.
    • To bulk mark voicemails as read, do as follows:
      1. Select the checkboxes of the desired records.
      2. At the top menu, click Mark as Read.
    Forwarding voicemail(s)
    Note:
    • To use this feature, make sure that the version of Linkus Desktop Client is 1.22.4 or later.
    • After forwarding, your original voicemails will still remain in your voicemail list, and you can check and manage them as usual.
    • To forward a voicemail to one or more specified extensions, do as follows:
      1. Hover your mouse over the desired record.
      2. At the right side, click .
      3. In the pop-up extension list, select one or more desired extensions.
      4. At the right-bottom corner, click OK.

        A prompt "Voicemail forwarded successfully." appears on the screen.

    • To bulk forward voicemails to one or more specified extensions, do as follows:
      1. Select the checkboxes of the desired voicemails.
      2. At the top menu, click Forward.
      3. In the pop-up extension list, select one or more desired extensions.
      4. At the right-bottom corner, click OK.

        A prompt "Voicemail forwarded successfully." appears on the screen.

    Delete voicemail(s)
    • To delete a voicemail, do as follows:
      1. Hover your mouse over the desired record.
      2. At the right side, click .
      3. In the pop-up window, click OK.
    • To bulk delete voicemails, do as follows:
      1. Select the checkboxes of the desired voicemails.
      2. At the top menu, click Delete.
      3. In the pop-up window, click OK.
